This is the federal deadline for filing 2026 Forms W-2 with the SSA and furnishing them to employees, under the official instructions. State and local requirements can differ. Source: 2026 General Instructions for Forms W-2 and W-3.

PaycheckVista prepares only the employee copies of Form W-2 (Copies B, C and 2). It does not produce Copy A and does not file anything with the SSA or the IRS. Preparing copies here does not by itself meet the employer's filing obligation.

Before you start

This tool is for employers and authorized preparers

  • It prepares an employee copy of Form W-2 for an employer, or for someone the employer has authorized to prepare it.
  • An employee ordinarily receives Form W-2 from their employer. If you are an employee and yours is missing or wrong, ask your employer or their payroll provider for it — preparing one about yourself here is not a substitute.
  • PaycheckVista does not file Copy A with the Social Security Administration, and never produces Copy A at all. Filing stays with the employer: order official scannable forms at IRS.gov/orderforms or e-file through SSA Business Services Online.
  • Every figure comes from your own payroll and year-end records. PaycheckVista prints exactly what you type. It calculates no wage or tax amount, checks nothing against any record, and is not tax or legal advice.
  • What you type stays in this browser tab. Nothing is uploaded, emailed or stored.

Written guide

Every box on the 2026 Form W-2, explained

Form W-2 is a Wage and Tax Statement an employer files and furnishes for an employee. The General Instructions for Forms W-2 and W-3 are addressed to employers and their agents, not to employees preparing a statement about themselves. An employee who needs a W-2, or a corrected one, asks the employer or the employer's payroll provider for it.

Every figure on the form comes from the employer's own payroll records for the calendar year. PaycheckVista prints exactly what you type onto the official layout. It does not calculate wages or tax, does not check your entries against any record, and does not know whether a figure is right.

PaycheckVista does not file anything. Nothing you enter is transmitted to the IRS, to the Social Security Administration, or to PaycheckVista's servers.

Delivering the copies, and what filing still needs

The prepared PDF contains the employee copies only: Copy B, to be filed with the employee's federal tax return; Copy C, for the employee's records; and Copy 2, to be filed with the employee's state, city, or local tax return. Each copy prints with the instructions the official form carries for it.

Employee copies are furnished to the employee — handed over, mailed, or delivered electronically where the employee has consented to that under the rules in the General Instructions. The employer keeps its own record of what was furnished and when.

Copy A is the copy that goes to the Social Security Administration, and PaycheckVista never produces it. Copy A downloaded or reproduced from a website is not scannable and must not be filed on paper: a penalty may be imposed for filing a form that cannot be scanned. Order official scannable forms from IRS.gov/orderforms, or file electronically through the SSA's Business Services Online.

The federal filing obligation, its deadline, and any state or local filing remain entirely with the employer. PaycheckVista is a form-filling convenience and is not tax or legal advice.

Preparing W-2 employee copies

How to prepare a W-2 here

Enter the employer and employee details, wages, federal and state withholding and the remaining boxes for the tax year. Your entries are placed onto the IRS form layout in your browser, and after payment the finished PDF is flattened so the fields can no longer be edited.

Which copies you receive

The PDF contains the employee copies only: Copy B for the federal return, Copy C for the employee's records and Copy 2 for a state or local return. Copy A, the copy submitted to the Social Security Administration, is never produced here.

Filing is separate and stays with you

PaycheckVista does not transmit anything to the SSA or IRS. Obtain official filing materials from irs.gov/orderforms or e-file with the SSA yourself. Copy A downloaded from a website must not be printed and filed.

What this tool is not

It is a convenience form filler for the employee copies, built from the figures you supply. It is not tax advice, the output is not government-issued, and PaycheckVista does not verify wages, identity or employment.

W-2 generator questions

Which copies you receive, what stays your responsibility, and how the finished PDF is generated in your browser.

Which W-2 copies does the PDF contain?

Employee copies B, C and 2 only. Copy A is never generated, so this tool cannot be used for the Social Security Administration submission.

Does PaycheckVista file the W-2 for me?

No. Nothing is sent to the SSA or the IRS. You prepare and download the employee copies here and handle any filing separately.

Can the finished W-2 still be edited?

No. The purchased PDF is flattened, so the values are part of the page rather than editable form fields.

How is the finished PDF delivered?

It is not delivered — it is created. After a successful payment the official form is filled and flattened inside the same browser tab you were working in, and you download or print it from there. Nothing is emailed and no download link exists.

Is this a subscription?

No. Each finished document is a single $7.99 payment. There is no recurring charge, no automatic renewal and no stored card on your side of the product.

Is my information stored?

No. Your tax-form entries remain temporarily in this browser tab and are not sent with your payment. PaycheckVista stores your purchase entitlement, but not your tax-form answers or completed PDF. Your document is generated locally after payment. Save it securely because PaycheckVista cannot recover it after you clear or leave the page.

What does my receipt email contain?

Only the product purchased, the amount, the date and a link back to the generator. It never contains your completed PDF, your form answers, a name or address from the form, an SSN or EIN, any wage amount, or a link that could recover the document.

Does PaycheckVista verify the information I enter?

No. You supply every figure and you are responsible for its accuracy. PaycheckVista does not verify employment, income or identity, and the document is not government-issued.
