Invoicing basics
How to create an invoice
Add your business name, then the client you are billing. Give the invoice a number and an issue date, list what you delivered as line items with a quantity and a rate, add any discount, tax rate or fee, then download the PDF and send it to your client yourself.
What information an invoice should include
Who is billing and who is being billed, a unique invoice number, the issue date and any due date, a clear description of the work or goods, quantities and rates, the total and the balance due, and how you would like to be paid.
Invoice versus receipt
An invoice requests payment for work already delivered or goods already supplied; a receipt confirms that payment was received. If your client has already paid part of the amount, record it as an amount paid so the invoice shows the remaining balance.
Invoice versus estimate or quote
An estimate or quote proposes a price before work begins and does not request payment. An invoice is issued afterwards and asks for a specific amount by a specific date. Keeping the two separate avoids confusion about what has been agreed and what is owed.
Invoices for freelancers and independent contractors
Freelancers and contractors usually bill hours or deliverables, so the line items carry hours and an hourly rate or a fixed project fee. Describing the work specifically, and referencing a purchase order or project name when the client uses one, tends to get invoices approved faster.
Invoice numbering and due dates
Pick one numbering pattern and keep using it, such as a date-based prefix followed by a sequence. The generator suggests a number you can edit. A due date sets the expectation for payment; if a due date is earlier than the issue date the editor tells you rather than changing it silently.
Discounts, taxes and partial payments
A discount can be a percentage of the subtotal or a fixed amount, and is applied before tax. The tax rate you enter is applied to the discounted subtotal. Shipping or an additional fee is added after tax, and any amount already paid is subtracted last to give the balance due.
Keeping invoice records
Because this tool keeps nothing, the PDF you download is your record. Save it somewhere durable alongside the payment you eventually receive, and keep your numbering unbroken so each invoice can be traced later.

Is the PaycheckVista invoice generator free?
Yes. Creating, previewing, printing and downloading an invoice is free, with no trial, no usage limit and no payment details required.
Is an account required?
No. There is no signup, no login and no email collection. Open the page, fill in the invoice and download the PDF.
Does PaycheckVista store invoice data?
No. The invoice is assembled in your browser and the PDF is produced there too. Your business details, client details, line items and logo are never uploaded, and nothing is saved between visits.
Can I download the invoice as a PDF?
Yes. Download PDF produces a US Letter PDF that matches the template you selected, with selectable text and extra pages when you have more line items than fit on one page.
Can I add a logo?
Yes. A PNG, JPG or WebP image up to 2 MB can be added, and it keeps its aspect ratio in both the preview and the PDF. The file is read in your browser and is not uploaded.
Can I add taxes and discounts?
Yes. Choose a percentage or fixed discount and enter the tax rate that applies to your transaction. PaycheckVista does not determine sales-tax obligations or calculate tax by location.
Can I record a partial payment?
Yes. Enter the amount already paid and the invoice shows the payment and the remaining balance due, which never falls below zero.
Can freelancers and contractors use it?
Yes. Line items take hours or quantities and a rate, so hourly, day-rate and fixed-fee work all invoice cleanly, with optional purchase order and payment terms fields.
Is an invoice the same as a receipt?
No. An invoice requests payment; a receipt confirms payment was made. An invoice with a zero balance shows as paid in full, but it is still an invoice.
Does PaycheckVista send the invoice to the client?
No. This version does not email or transmit invoices. You download the PDF and send it to your client yourself, which is also why none of your client's details need to leave your browser.
Is the generated invoice a tax filing document?
No. It is a business document built from the information you supply. It is not government-issued, and this tool is not accounting, tax or legal advice.
